In regulated industries such as finance and healthcare, this approach is particularly attractive. It allows organisations to improve access to internal knowledge while maintaining traceability and control. Answers can be tied back to approved documents, reducing the risk of unsupported or speculative outputs.
What distinguishes these deployments from earlier knowledge management efforts is not ambition, but usability. They are designed for retrieval and explanation, not just storage.
Memory comes with risk
The idea of AI as institutional memory is compelling precisely because it addresses a real and costly organisational weakness. But it also carries risks that are easy to underestimate.
Generative systems are fluent by design. They can produce confident, well-structured answers even when underlying information is incomplete, outdated, or contradictory. If internal documents are poorly maintained, AI will not fix that problem—it will amplify it.
There are also governance challenges. Access controls must be accurate. Sensitive information must not surface inappropriately. And in high-stakes environments, AI-generated summaries cannot replace human oversight.

Used carefully, it helps companies avoid repeating mistakes, losing expertise, or operating on half-remembered assumptions. Used carelessly, it risks turning forgotten documents into polished misinformation.
The difference lies not in the model, but in how seriously organisations treat their own knowledge. AI, it turns out, is only as wise as the memory it is given.
